1. Who we are

Somerset Estate Escapes ("we", "us", "our") is an independent travel referral service based in the United Kingdom. We introduce prospective guests to selected private estates and their management teams. We do not own, manage, or operate any property, and we do not process bookings, payments, or logistics.

2. The data we collect

When you submit the enquiry form on our site, we collect:

  • Your full name
  • Your email address
  • Your preferred dates
  • Your party size

We may also collect any additional information you volunteer in follow-up correspondence, and basic technical data (IP address, browser type, referring page) via standard server logs and the form delivery service we use to receive submissions.

3. How we use your data

We use your personal data to:

  • Respond to your enquiry with rates and availability information.
  • Introduce you, where relevant, to the management team of a selected estate.
  • Follow up with you about your enquiry and any subsequent stay.
  • Keep records required for tax, accounting, and referral-fee reconciliation.
  • Protect the security and integrity of our website and services.

4. Legal bases (UK & EU GDPR)

  • Consent — when you submit the enquiry form, you consent to us processing your data to respond and to make an introduction.
  • Legitimate interests — running and improving our referral service, and pursuing legitimate commercial arrangements with estates.
  • Legal obligation — retaining records where UK law requires us to do so.

5. Who we share your data with

We share your personal data only with:

  • The estate's management team, where you have expressed interest in a stay and an introduction is appropriate, so they can quote rates, confirm availability, and (if you proceed) arrange your stay directly with you.
  • Our service providers who help us operate the site and receive form submissions (for example, form delivery, email, and hosting providers), acting as data processors on our behalf.
  • Professional advisers and authorities where required by law.

We do not sell your personal data, and we do not share it with advertisers or data brokers.

6. Referral fees

If a booking is made following our introduction, we may receive a commission or referral fee from the estate. This is at no additional cost to you. Payment of any referral fee does not change how we handle your personal data, and does not give the estate any additional rights over your data beyond what is needed to arrange and deliver your stay.

7. International transfers

Some of our service providers may process data outside the UK or European Economic Area. Where they do, we rely on appropriate safeguards recognised under UK and EU data protection law, such as the UK International Data Transfer Agreement or the EU Standard Contractual Clauses.

8. How long we keep your data

We keep enquiry data for as long as needed to respond to you and, where relevant, to support any resulting stay and reconcile any referral fee. If no booking results, we typically delete or anonymise enquiry data within 24 months. Records we are legally required to keep (for example, for tax purposes) are retained for the period required by UK law.

9. Your rights

Under UK and EU data protection law you have the right to:

  • Access the personal data we hold about you.
  • Ask us to correct inaccurate or incomplete data.
  • Ask us to delete your data ("right to erasure").
  • Restrict or object to certain processing.
  • Request a copy of your data in a portable format.
  • Withdraw consent at any time, without affecting the lawfulness of processing carried out before withdrawal.
  • Lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk, or your local supervisory authority in the EEA.

Our site uses only strictly necessary cookies and standard server logs required to operate the site securely. If we introduce analytics or non-essential cookies in the future, we will update this policy and, where required, ask for your consent first.

We use appropriate technical and organisational measures to protect your personal data, including secure transport (HTTPS) and access controls on the systems we use to receive and store enquiries. No system is perfectly secure, but we take our responsibilities seriously and act promptly on any suspected incident.

12. Children

Our service is directed at adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has provided us with personal data, please contact us and we will delete it.
